AI readiness is how prepared your organisation is to use AI safely and profitably. It depends on four things: the quality of your data, the state of your systems, your people’s skills and attitudes, and the governance around AI use. If one of the four is weak, results will be weak regardless of the tool.

1. Is your data ready?

  • Key data lives in structured systems, not only in personal files and inboxes.

  • Records are reasonably complete and consistent, with clear owners.

  • You know which data is confidential or personal and where it is stored.

  • You can export data in usable formats.

2. Are your systems ready?

  • Core processes run in documented systems such as a CRM, ERP or ticketing tool.

  • Systems have APIs or integration options.

  • You have reviewed your existing software for AI features you already pay for.

  • Access control and security basics are in place.

3. Are your people ready?

  • Leaders have named a business owner for AI initiatives.

  • Staff understand what AI can and cannot do, and where to ask questions.

  • Teams who will use the tools were involved in choosing them.

  • There is time allocated for training and review, not only for deployment.

4. Is governance ready?

  • A short policy lists approved tools and what data may be used with them.

  • Outputs that affect customers or decisions are reviewed by a person.

  • Vendor terms on data use, retention and location have been checked.

  • Someone is accountable when something goes wrong.

How do you score the checklist?

Mark each item as yes, partly or no. Mostly yes means you can pilot now. A mix of partly and no tells you what to fix first, and it is usually data or governance. Fixing those gaps costs far less than rescuing a failed AI project.

What should you do in the first 30 days?

  • Week 1: inventory data sources, tools and owners.

  • Week 2: complete the checklist with department leads.

  • Week 3: pick one low-risk process for a pilot and set a baseline.

  • Week 4: publish a one-page AI use policy and run a short staff briefing.

Key takeaways

  • Readiness covers data, systems, people and governance.

  • Weak data and missing policy are the most common blockers.

  • Fix the gaps, then pilot one process.

Frequently asked questions

What is an AI readiness assessment?

A structured review of your data, systems, skills and governance that shows how prepared you are to adopt AI, and what to fix before you start.

How long does an AI readiness assessment take?

A focused assessment for a small or mid-sized organisation can often be completed in days, depending on the number of departments and systems reviewed.

Do we need perfect data before using AI?

No, but you need data that is good enough for the use case and a clear owner who can correct it.
